Terms of Service

1. What Polyconomic does

Polyconomic provides a tool that calculates your UK cryptocurrency capital gains tax position based on transaction data you provide. We apply HMRC's matching rules (same-day, 30-day, and share pool) to your data and produce a summary of your taxable gain. You can optionally download a PDF report for use when completing your HMRC Self Assessment return.

2. This is not tax advice

We are not liable for any tax liability, penalties, interest, or other loss that arises from using this service. HMRC makes the final determination of your tax liability; Polyconomic is a calculation tool, not a tax authority.

3. Accuracy

We make every effort to apply HMRC rules correctly and keep the service up to date with HMRC guidance. However, HMRC's published guidance can change, and edge cases exist that our calculation engine may not handle in every situation. It is your responsibility to verify that the figures produced are correct for your specific circumstances.

HMRC's rules on cryptocurrency disposals, income, and pooling are complex and subject to ongoing development. We will update the service as guidance changes, but we cannot guarantee that every scenario is covered perfectly. If you believe there is an error in how we calculate a particular type of transaction, please contact us.

4. Your account

You are responsible for keeping your account credentials secure. Do not share your password with anyone. If you believe your account has been compromised, contact us immediately at hello@polyconomic.com.

You must be at least 18 years of age to use Polyconomic. By registering, you confirm that you are at least 18.

5. Payment, refunds, and your right to cancel

Payment is processed by Stripe. All prices are shown inclusive of VAT where applicable.

Single report purchases (digital content):

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have a right to cancel a digital purchase within 14 days. However, by purchasing a report you expressly consent to us beginning delivery of the digital content immediately, and you acknowledge that you lose your right to cancel once the report has been generated and made available for download. If you have not yet downloaded the report, you may request a cancellation and full refund within 14 days by emailing hello@polyconomic.com.

Annual subscriptions:

Subscriptions can be cancelled at any time. You will retain access until the end of the current billing period. Subscriptions do not renew automatically once cancelled. You have a 14-day right to cancel a new subscription from the date of purchase; contact us for a full refund if you have not used the service during that period.

If a report fails to generate due to a fault on our side, we will resolve it promptly or issue a full refund.

6. Acceptable use

You agree not to:

• —Use the service to produce reports for third parties without an accountant arrangement agreed with us
• —Attempt to reverse-engineer, scrape, or systematically extract data from the service
• —Upload files that contain malware, scripts, or code of any kind
• —Attempt to bypass or circumvent authentication, rate limiting, or other security controls
• —Use the service in any way that violates applicable UK law or HMRC regulations
• —Share, resell, or commercially exploit access to the service

7. Intellectual property

Polyconomic, its software, design, and content are owned by Polyconomic Ltd and protected by UK copyright law. You may not copy, reproduce, or redistribute any part of the service without our written consent.

You retain ownership of the transaction data you upload. By uploading it, you grant us a limited licence to process it for the sole purpose of providing the service to you. We do not use your transaction data for any other purpose.

8. Limitation of liability

To the fullest extent permitted by UK law, Polyconomic's total liability to you for any claim arising from your use of the service is limited to the greater of (a) £100 or (b) the amount you paid us in the 12 months preceding the claim.

We are not liable for indirect, consequential, or incidental losses including lost profits, lost data, or penalties imposed by HMRC. Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under UK law.

9. No warranty

The service is provided “as is” and “as available” without any warranty of any kind, express or implied. To the fullest extent permitted by UK law, we disclaim all implied warranties including fitness for a particular purpose, merchantability, and non-infringement. We do not warrant that the service will be error-free, that calculations will be correct in every circumstance, or that the service will meet your specific requirements.

10. Service availability

We will make reasonable efforts to keep the service available. We cannot guarantee uninterrupted access. Planned maintenance will be announced in advance where possible. We are not liable for losses caused by unavailability of the service or by unavailability of third-party services (including Stripe, Supabase, or Vercel) on which the service depends.

11. Termination

You can delete your account at any time from your account settings. We may suspend or terminate your account if you breach these terms. On termination, your data will be deleted in accordance with our Privacy Policy.

12. Changes to these terms

We may update these terms from time to time. We will notify you by email of material changes with at least 14 days' notice before they take effect. Continued use of the service after changes take effect constitutes acceptance of the updated terms.

13. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
